Consulting Platform Automation & SaaS Consolidation

Project Brief

Hands on Angel is an angel investment and advisory business offering consulting sessions, educational content, and coaching services. As the business grew, its underlying systems became fragmented across multiple SaaS tools, increasing both cost and operational complexity.

This project focused on rebuilding the entire digital platform into one consolidated, automated system that simplified operations, improved the client experience, and significantly reduced monthly software expenses.

The Challenge

Before the rebuild, the business relied on multiple disconnected tools for:

  • Scheduling and bookings

  • Course and content delivery

  • Email marketing and follow-ups

  • Landing pages and funnels

While each tool worked independently, together they created:

  • A confusing user experience

  • A fragmented customer journey

  • High recurring SaaS costs

  • More maintenance and points of failure

The goal was not to add new features — it was to simplify, consolidate, and automate.

Research

The project began with a full audit of Hands on Angel’s existing systems, workflows, and customer journey. This included analyzing how users discovered services, booked sessions, accessed content, and received follow-ups.

Special attention was given to identifying points of friction created by multiple disconnected tools — including scheduling platforms, course software, email systems, and landing pages. Cost analysis and operational overhead were also evaluated to understand how software sprawl was impacting profitability and efficiency.

The research phase made one thing clear: the issue wasn’t lack of features — it was fragmentation.

Concept

The core concept was to replace tool stacking with system thinking.

Rather than optimizing individual tools, the solution focused on building a single, unified platform where all core business functions lived together. The goal was to create a seamless experience for both the client and the operator — from first visit to paid engagement and ongoing communication.

The platform needed to be:

  • Simple for users to navigate

  • Easy to manage without technical overhead

  • Automated wherever possible

  • Inexpensive to operate long-term

This concept shaped every architectural and design decision that followed.

Design Refinement

Once the core structure was in place, the platform was refined through multiple iterations focused on clarity, usability, and automation.

This phase included:

  • Simplifying page layouts and service flows

  • Refining booking and scheduling interactions

  • Streamlining content delivery and course access

  • Tightening email automation logic and messaging

  • Improving SEO structure and page hierarchy

Design decisions were driven by function first — ensuring that every element supported conversion, usability, and operational efficiency rather than unnecessary visual complexity.

Market Impact

The rebuilt Hands on Angel platform delivered immediate and measurable impact.

By consolidating multiple SaaS tools into a single system:

  • Monthly software costs were reduced by over $800

  • Ongoing platform costs dropped to ~$22/month

  • Manual administrative work was significantly reduced

  • The client experience became clearer and more professional

  • The business became easier to scale without adding new tools

More importantly, the platform now supports growth without increasing operational complexity — a critical advantage for consulting and advisory businesses.

Results

The rebuilt Hands on Angel platform delivered immediate operational and financial improvements.

By consolidating scheduling, content delivery, email automation, and client workflows into a single system, the business eliminated over $800 per month in recurring SaaS costs. Ongoing platform expenses were reduced to approximately $22 per month, while overall system complexity decreased significantly.

Beyond cost savings, the new platform created a clearer client journey, reduced manual administrative work, and made ongoing updates and marketing far easier to manage. The business now operates on a simpler, more efficient foundation that supports growth without additional tools.

Final Design and Production

The final platform was delivered as a production-ready system designed for real-world use, not experimentation.

All core functionality—including bookings, content access, automated communications, and service management—was fully integrated and tested within a single platform. The system was built to be easy to operate, secure, and flexible, allowing services and content to evolve without requiring new software subscriptions or technical overhead.

Rather than treating launch as an endpoint, the platform was designed to remain stable, maintainable, and adaptable as the business continues to grow.

Final Thoughts

Hands on Angel demonstrates how automation and consolidation can dramatically improve both profitability and operational clarity for service-based businesses.

This project highlights the value of replacing fragmented tool stacks with a unified system that prioritizes simplicity, automation, and long-term efficiency. The result is not just a better website, but a more sustainable way to run the business.
